Slotted

Terms of Service

Last updated 29 September 2026

These Terms of Service govern your use of Slotted (“Slotted”, “the Service”). Slotted is an independently developed and operated scheduling and availability-polling service. The Service is currently provided free of charge.

By creating an account, creating a poll, participating in a poll, or otherwise using Slotted, you agree to these Terms. If you do not agree with these Terms, please do not use the Service.

Our processing of personal data is described in the Slotted Privacy Policy.

1. The Service

Slotted allows authorised users to create polls containing proposed dates and times and share them with other people. Participants can indicate their availability and, depending on the poll settings, view information about other participants. Slotted is intended primarily for scheduling meetings and other activities. An account is currently required to create a poll. An account is not required to participate in a poll.

We may add, modify or remove features from the Service over time.

2. Eligibility and accounts

2.1 Account eligibility

Account registration is currently restricted to users with an authorised @certh.gr email address. Eligibility requirements may change in the future. The access restriction is a configuration chosen by the operator of Slotted and does not imply that CERTH operates, sponsors, endorses or administers Slotted.

2.2 Account information

When creating an account, you must provide accurate information and must not impersonate another person. You are responsible for maintaining the confidentiality of your account credentials and for activity carried out through your account. You must not share your account credentials with another person or allow another person to use your account.

2.3 Account approval

Account creation may be subject to manual approval. Slotted administrators may refuse, suspend or withdraw approval where reasonably necessary, including for security, abuse-prevention, operational or other legitimate reasons.

2.4 Account deletion

You may delete your account using the dedicated function in account settings. Account deletion may also delete polls owned by that account along with the associated data and responses, subject to the provisions of the Privacy Policy and any information that must temporarily remain in backups or be retained by law. Responses the account submitted to polls owned by other accounts are not deleted.

3. Participating in polls

You may participate in a poll without creating an account. When submitting a response, you must provide accurate information and must not impersonate another person. A response may include your name, email address, availability information, and the seat-label when required. A poll organiser may have access to participant names, email addresses and availability information. Depending on the poll settings, other people who access the poll may also see participant names and availability information.

Slotted may provide a private link or another mechanism allowing you to modify or delete your response. You are responsible for keeping such access information confidential and safe. If you lose a private response-management link, Slotted may not be able and is not required to restore access to the response. Deleted Slotted polls do not retain the poll information and therefore access is lost.

4. Creating and organising polls

If you create a poll, you are the poll's organiser and are responsible for:

As a poll organiser you may have access to participant names, email addresses and availability information. Depending on the poll settings, other people who access the poll may also see participant names and availability information.

You should not place confidential or sensitive information in a poll unless doing so is appropriate and lawful.

You must not use participant information for purposes unrelated to the organisation of the relevant activity unless they have an appropriate legal basis to do so.

Polls may be accessible through a unique link. Anyone who obtains a poll link may potentially be able to access the corresponding poll. A poll link should be treated as an access credential where the poll does not require additional authentication. The poll organiser and the participants are responsible for with whom they share a poll link and for keeping the poll's share link. Slotted does not guarantee that a poll link will remain confidential after it has been shared.

6. Information about expected participants

Slotted may allow an organiser to enter information about people or organisations expected to participate in a poll. If you provide information about another person, you are responsible for ensuring that you have an appropriate legal basis and permission to provide that information where required by applicable law. You should provide only information that is reasonably necessary for the purpose of organising the poll.

7. Acceptable use

You must use Slotted lawfully and responsibly.

You must not:

When you send a bug report or feedback, include only what is needed to describe it. Do not include or attach other people's personal data, passwords or other confidential information, or any material this section prohibits.

8. Enforcement

If we reasonably believe that these ToS or applicable law have been violated, we may take appropriate action, including:

Where appropriate, we may attempt to notify the affected user before taking action.

We may act without prior notice where immediate action is reasonably necessary to protect the Service, users, or third parties.

9. Your content

You retain ownership of content that you submit to Slotted to the extent that you own such rights. You grant the operator of Slotted the limited permission necessary to store, process, reproduce and display your content for the purpose of providing and operating the Service. This permission does not transfer ownership of your content to the operator. You are responsible for ensuring that you have the necessary rights and permissions to submit content to Slotted.

10. Our intellectual property

The Slotted software, interface, design, branding, name, logos and other materials provided by the operator are owned by or licensed to the operator, except where otherwise indicated. Subject to these ToS, you receive a limited, non-exclusive, non-transferable and revocable right to use the Service for its intended purpose.

You must not, except where permitted by applicable law:

Nothing in these Terms limits rights granted under applicable open-source licences.

11. Third-party services

Slotted relies on third-party infrastructure and service providers to operate some parts of the Service. These may include hosting, database, authentication, security and email-delivery providers. The processing of personal data by these providers is described in the Privacy Policy. Third-party services may have their own terms and privacy policies.

12. Availability

Slotted is provided on an “as available” basis. We do not guarantee uninterrupted availability, a particular uptime level, or that the Service will always be free from errors or security vulnerabilities. The Service may be temporarily unavailable because of maintenance, updates, technical problems, security incidents, failures of third-party services or circumstances outside our reasonable control. We may modify, suspend or discontinue the Service or particular features at any time. You should retain copies of information that is important to you.

13. Disclaimer

To the maximum extent permitted by applicable law, Slotted is provided without warranties or guarantees that are not expressly stated in these ToS.

We do not guarantee that:

Nothing in these ToS excludes or limits rights or protections that cannot legally be excluded or limited.

14. Limitation of liability

To the maximum extent permitted by applicable law, the operator of Slotted shall not be liable for indirect, incidental, special or consequential losses arising from your use of, or inability to use, the Service. This includes, where legally permissible, loss of data, loss of availability, loss of opportunities or other indirect losses. Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited.

15. Suspension and termination

You may stop using Slotted at any time. We may suspend or terminate access where reasonably necessary because of:

The handling of personal data following termination is described in the Privacy Policy.

16. Privacy

Our processing of personal data is governed by the Slotted Privacy Policy. The Privacy Policy explains what information we collect, why we process it, who may receive it, how long we retain it and what rights you have.

17. Changes to these ToS

We may update these ToS when the Service, its features, operating arrangements or applicable legal requirements change. The “Last updated” date indicates when the current version was last updated. Where appropriate, material changes will be communicated through the Service or another reasonable method.

Your continued use of Slotted after revised ToS become effective constitutes acceptance of the revised ToS to the extent permitted by applicable law.

18. Governing law

These ToS shall be governed by the laws of Greece, unless mandatory provisions of another jurisdiction apply. Disputes shall be subject to the jurisdiction of the competent courts of Greece, subject to any mandatory rights that users may have under applicable law.

19. Severability

If a provision of these ToS is found to be invalid or unenforceable, the remaining provisions shall remain in effect.
