Slotted

FAQ

Getting started

What is Slotted?

Slotted helps you find a common time slot with other people. Create a poll with your available time slots, share its link, gather responses, and get Slotted!

Who can use Slotted?

Everyone can answer a Slotted poll, but only @certh.gr email addresses can register an account and create polls.

How do I know my account has been approved?

You monitor the account's status by logging in. Once your email is verified and your account approved you will be directed to the "Polls" page.

What is on the Polls page?

The "Polls" page contains all the polls you created, categorised by their status, and all your responses to your own and other people's polls. A search field can be used to search through polls, responses, and other people's polls through their share link or id.

Creating a poll

How do I create a poll?

Press New poll. Fill in the Details (title, description, location, time zone and respondent settings), add Time slots, and Review your poll before you Publish.

What types of meetings can I set up?

Slotted's polls do not require a meeting location but you can add details on Online, Hybrid, and In-person events.

What do the respondent settings do?

You always see every response yourself. The switches decide what respondents see:

  • Hide respondent names from other respondents: respondents see the counts and the best time slot, but not who answered.
  • Hide response counts from respondents: respondents see nothing about who has answered, not even a count. This hides names too.
  • Add a respondents list: see the next question.

Once people have answered, hidden names cannot be shown again.

What is a respondents list?

It is a list of respondents the organiser can create, and each respondent chooses themselves from the list.

New polls start without a list. Turning the list off hides it from respondents but keeps the list and the responses given for it; turning it back on brings it back.

Can I change a poll after publishing it?

Yes. Choose Edit from the poll's menu to change its details, settings and time slots. Removing a time slot deletes the answers given for it, and Slotted tells you how many before it does.

Time slots and time zones

How do I add time slots?

The 60-minute duration is auto-selected and you can change it. Once you have the duration you want, a simple click on the calendar adds the time slot. You can move, resize or delete it with simple clicks.

How many time slots can a poll have?

You can add up to 200 time slots, which can range from 1 minute to 8 hours, or be all-day slots.

Which time zone are the times in?

The time zone is set in the poll's Details page and drawn from your system's settings. You can change the time zone any time before adding time slots.

Why can't I change the time zone?

The time zone locks once the poll has a time slot, so that no time slot moves by accident. To change it, remove all the time slots first.

What does "Clocks change" mean?

A time slot that crosses a daylight-saving change, or whose time happens twice the night the clocks go back, is marked. You see a warning when you add it, and respondents see a Clocks change note in the time zone they are viewing.

Sharing and responses

How do I share my poll?

After you publish, use Copy link on the poll page or in the poll's menu, and send the link yourself: Slotted does not send invitations. Preview shows the poll exactly as respondents see it.

How do people answer?

They open the link; no account is needed. For each time slot they choose Available, If necessary or Unavailable, then enter their name and email address and press Submit. Each email address can answer a poll once.

Who can see names and email addresses?

Email addresses are never shown to other respondents, under any setting. As the organiser you see every respondent's name and email address, and Export CSV downloads them with the answers. Other respondents see names and answers unless you hid them.

After submitting they reach Response recorded, which shows Your response link with Copy, Edit response, Email me the link, Download response and Delete response. The link is the way back to the response. Slotted also emails it to the address they gave, and "Email me the link" opens their own mail app. The same browser also remembers it. Someone who answered while logged in opens it from My responses on the Polls page with their account, and opening it never replaces their link. If this browser has no working link, they can make one with Get a new response link; Slotted asks first, because a link saved or emailed earlier then stops working.

If they answered while logged in, their row in My responses on the Polls page opens it, and Get a new response link makes a new one; any older link then stops working. Otherwise Slotted cannot send the link again: delete their response from the poll's responses and they can answer again with the same email address.

How do I see the responses?

Open the poll: the responses show each person's answer for every time slot, with the totals. The best time slot is the one the most people can attend (Available plus If necessary); a tie goes to the earliest, and a time slot that has ended is never suggested. You also get an email for each new response; emails go out in batches, so one can take several hours to arrive.

Do I have a response on my own poll?

Yes. Publishing records your response as Available for every time slot; if the poll has a respondents list, you choose which one is you, or no response. Open it from its row in My responses on the Polls page to see, change or delete it.

What happens when I pause a poll?

Choose Pause from the poll's menu. Nobody new can answer and existing respondents cannot change their answers, though they can still delete their response. Resume opens the poll again.

What happens to time slots that have passed?

Once a time slot has ended nobody can answer it, and answers already given for it are kept. Ended time slots are marked, and none of them is ever suggested as the best.

Deciding

How do I choose the final time?

Press Decide on the poll page or in the poll's menu, pick a time slot (the best one is suggested) and confirm. Deciding is the only way to close a poll. Respondents see the chosen time on the poll page; Slotted does not email them.

What if no time works?

Press No time worked in the Decide dialog. The poll closes as Unresolved, with no time chosen.

Can I undo a decision?

Yes. Press Undo on the decided box, or choose Reopen poll from the poll's menu. The poll is open again and every response is kept.

Can respondents change their answers after a decision?

No. Once a poll is decided or unresolved, the response link opens a read-only page: the poll's details, the decided time (marked This is the meeting), and their own answers, with Copy, Email me the link, Download response and Delete response. Reopening the poll lets them edit again.

How do I add the meeting to a calendar?

Once a time is decided, Add to calendar on the decided box downloads a calendar file or opens Google Calendar or Outlook. Your file lists the people who answered Available or If necessary as attendees, so your calendar can send them the invitations. Respondents get the same button, without anyone else's details.

How do I delete polls?

Choose Delete from a poll's menu and type DELETE to confirm. To delete several, press and hold a poll on the Polls page to start selecting, tick the others, press Delete all and type DELETE once; up to 100 at a time. A deleted poll and all its responses cannot be recovered.

Your account

How do I change my password?

Go to Account and press Change password. If you have forgotten it, use Forgot password? on the log-in page to get a reset link. The eye button shows what you typed; it hides again when you leave the field or submit. Changing your password logs you out on your other devices.

How do I delete my account?

Go to Account and press Delete account. Your account, your polls and the responses given to them are deleted permanently.

Where do I find the app version?

On Account, in the last row. Reports sent from Bugs & Feedback include the version, the build and its date automatically.

How do I report a bug or send feedback?

Open Bugs & Feedback (on a phone it is in the menu under your initials). Tick Bug, Feedback, Support or any combination, describe it and attach up to 5 files, 25 MB in total: images, videos, PDFs, office documents or text files. You get a reference number, and what you type is kept in your browser until you press Submit. You can send 5 reports an hour and 20 a day.

Can I send feedback anonymously?

Yes. Hide both your name and your email address and the report is stored without either and without any link to your account; files cannot be attached then. Hiding only one keeps the link to your account. A support request always keeps your email address, so we can answer you; only your name can be hidden. Ticking Support while your email is hidden asks before showing it, and hiding your email asks before unticking Support. The app version, page, browser, screen size and time zone are sent either way.

Privacy

Does Slotted email respondents?

Yes. When someone submits a response, and when they save a change to it, Slotted emails them a confirmation with the link to their response. A change made while logged in gets a link to the poll instead, and at most one email goes per response every 10 minutes. Slotted sends respondents nothing else: no invitations, and nothing when a poll is decided. The other emails are a password reset you ask for yourself, one to an organiser when someone answers their poll, and one to the administrators when someone creates an account.

What does Slotted keep about a response?

The name, email address, organisation (if given), the person or organisation chosen from the respondents list and the answers. The response link is kept only in a scrambled form, which is why Slotted cannot send it again; the confirmation email holds it only until it is sent, and never for more than 24 hours. The Privacy Policy has the full details.
